Launch an Online Gallery System — Viewing Rooms, Inventory, and CRM

Most galleries do not need another public storefront — they need a private, credible way to show ten works to twenty of the right people, take an offer, and issue an invoice without leaving the system. Aurelian is the online gallery system for that reality: shareable viewing rooms tied to your live inventory, a collector CRM that captures interest per work, and offer-to-invoice with consignment splits — all live in a weekend, no developer required.

What it does

Private viewing rooms, branded and shareable

Curate a room of works, add a note per piece, and share by link with an expiry. Every open, revisit, and enquiry per work is tracked against the collector record — you know who looked at what, and for how long, before you call.

Inventory as the source of truth

Works are catalogued once with dimensions, medium, edition, provenance and price. Viewing rooms, offers and invoices pull from the same record — so a piece sold in the room disappears from the next room automatically.

Offer, hold, invoice

Convert a viewing-room enquiry into an offer, place a soft hold, then issue an invoice with consignment split recorded against the artist agreement — without duplicating any data.

CRM built for collectors, not e-commerce

Each contact carries budget bands, aesthetic preferences, past enquiries and purchases. Wishlist matching flags when a new arrival fits a stated interest — turning cold stock into a first phone call.

Same-day launch

Import your existing inventory by CSV, upload artwork images, publish your first viewing room, and share the link the same day. No storefront theme to pick, no plugins to configure.

Who uses this

Contemporary gallery running online-only shows

Curate a themed room every month, invite the segmented collector list, track engagement, follow up on the works that got attention.

Art advisor pitching a household

Assemble a private room of five works for one collector, add a note explaining the selection, share the link, and see which piece drew the longest look.

Emerging-gallery programme reveal

Preview a new artist to top collectors before the physical opening, capture holds, and convert to invoices as the show opens.

Questions

Frequently asked.

Do I need a public website to launch an online gallery here?

No. Viewing rooms are private and share by link. Many galleries run their public site elsewhere (WordPress, Shopify, Squarespace) and use Aurelian purely as the working online gallery system behind it — inventory, rooms, CRM and invoicing.

Can collectors buy directly from a viewing room?

Rooms are built around enquiry, offer and hold — the way the primary market actually transacts. Card checkout for editions and lower-value works via Stripe is supported; for major works, offer-to-invoice keeps the salesperson in the loop.

How long does it take to launch?

A working online gallery — inventory imported, first viewing room published, first invoice ready — is realistic in a weekend for a gallery of up to a few hundred works. Larger inventories take longer to photograph than to load.

Is the free plan usable to launch?

Yes. Solo dealers can launch on the free tier and upgrade only when they add staff, higher inventory volumes, or advanced consignment reporting.
